Due to a family incident a large group of guests requested to cancel their reservations at the last minute. They asked for a refund from our company. Being that we are a small property and their reservations were at a busy time of the year it would have had a substantially negative impact on our business if I refunded them in full. I mentioned that we would refund half of the amount, and with further negotiation we compromised and refunded them 60%; both parties were pleased.
Going through the process of refunding each credit card was quick and understandable. We refunded the proper amounts and applied the appropriate cancellation fee. I cancelled all the reservations and then conveniently emailed each guest a copy of the folio and a cancellation notification for future reference.
